How long to keep tenant records

Hi Folks
I wonder how long people keep tenants records
I understand that right to rent checks evidence should be kept for a year for legal reasons.
How long do members keep tenant emails after the tenancy, phone numbers etc and why ? What about tenancy agreements ?
