Advice on registering tenants' deposits

Hi
I have just let my 4 Bed property to 4 students. They came as a group. I took deposit of £250 from each. How do I register these and how much will this cost? Is it a seperate cost for each or all together as one? The total deposit value is over £500 in this case so do I just pay £17.95 or is it £13.20 x 4 ?
Also the tenants just moved in on 1st July 2013 but they paid the deposit in February 2013. Am I in trouble?
